REPORT ON SMART WORKPLACE PORTAL TRAINING FOR KWAEBIBIREM MUNICIPAL ASSEMBLY.

INTRODUCTION
On October 16, 2025, a Smart Workplace Portal training session was held to improve Kwaebibirem employees’ understanding and actual application of the platform’s main functionalities. The training’s goal was to guarantee effective handling of shared papers, appropriate correspondence management, and expedited e-leave application submission and tracking.
The following elements were included in the session: Memo; Correspondence Register; Correspondence Sorting; Correspondence Management; E-Leave System; Shared Files and Documents.
Shared Files / Shared Document Module
Kwaebibirem employees were introduced to the Smart Workplace Portal’s shared document repository during the training. The salient features consist of: Uploading, editing, and versioning shared documents, assigning access permissions to ensure appropriate data security, Proper folder structuring for easy retrieval of organizational documents and Collaboration features such as simultaneous editing and comment tracking.
Participants demonstrated basic document handling skills and were able to move around the shared workspace.
E-Memo Module
Internal memo production, distribution, and archiving were the main topics of this training session. The following features were shown: Using the gateway to draft and format memos, using automated workflows to route memos for approval, Monitoring the progress of memos from draft to approval and preserving authorized memos for later use.
The module aims to reduce paper-based communication and ensure consistency in official memorandum issuance.
Correspondence Register
Participants learned how to record incoming and outgoing correspondence using the portal’s register feature. Important components covered included: Recording communication information, including date, subject, sender/receiver, and reference number, including digital copies of correspondence for long-term documentation, giving officers correspondence to reply to, and Keeping track of completed and outstanding correspondence tasks.
This module ensures transparency and accountability in managing communication.
Correspondence Sorting
Additionally, the training showed how the system organizes correspondence according to predetermined criteria both automatically and manually. Sorting by category, department, urgency, or sender was one of the key areas or Using filters to speed up retrieval and Tagging communications to enhance classification.
Effective departmental communication arrangement is made possible by this feature.
Correspondence Management
Participants received training on comprehensive correspondence management, which went beyond simple logging and sorting. This included: Monitoring action items pertaining to letters and official documents; Assigning tasks and establishing deadlines within the portal; Viewing correspondence history for audit purposes; and ensuring prompt response to internal and external communications.
This module helps maintain service standards and prevents delays in communication handling.
E-Leave Module
Training on the electronic leave (E-Leave) module marked the end of the session. Participants were instructed on how to:
- Apply for different types of leave through the portal.
- Upload supporting documents where required.
- Track approval status in real time.
- View personal leave balance and leave history.
- The management of managers’ leave schedules and approval processes.
The system modernizes leave administration and reduces manual paperwork.
Conclusion
The Smart Workplace Portal training, which took place on October 16, 2025, effectively gave participants the information and abilities they needed to make use of the system’s essential digital capabilities. The municipality is anticipated to increase productivity, improve communication management, and simplify administrative processes by implementing these tools.
